GROUPS OVERVIEW

Groups are an important way to manage Clients and Trainers and can link Users to Media, Bookings and to Filter lists.

GROUPS OVERVIEW

There are three types of groups:

  • System generated groups
  • Manual groups
  • Assessment groups

 

Groups can be used to filter the list of users in many places in Fisikal, for example:

  • Client list
  • Schedule
  • Reports
  • Team overview

Groups can also be used to quickly add Clients to events on the Schedule.

Note: If you use a Group to add clients to scheduled events, then if a new Client has been added to the Group, they are NOT automatically updated into any events that Users within the Group have been associated to. When a Group is assigned to an event, only the Users in the group at that time are added to the event. 

 

How to view the clients in a Group

  1. Any staff member can click the Clients list
  2. Filter the list by clicking the All Groups button on the filter list and choosing the group to see.
  3. The list of clients is displayed

Alternatively the Client Details report can be filtered by a Group.

  1. Click Reports from the main menu
  2. Click ➕> select Client Details Report
  3. Click the Group filter and choose the group
  4. Click Generate to produce a report containing all the clients in a group

System generated groups

The Fisikal system maintains a live set of groups that are always up to date of clients or trainers that fall into certain definitions. These are sometimes called Generic Groups.


Group Definition
All Clients All Client users that are not Status = Inactive
All Active Clients

All Client users that are not Status = Inactive, and:

  • Own at least one package credit
or
  • Have at least one booking
All Active Trainers All Trainer users that are not Status = Inactive
New Clients

All Client users that are not Status = Inactive, and:

  • Have never owned a package credit
My Active Clients <trainer name>

All Client users that are not Status = Inactive, and:

  • Have at least one booking with the trainer
Lead Trainer: <trainer name> All clients where the selected Lead Trainer is the trainer

Location Groups

 

All Client users that are not Status = Inactive, and:

  • The Home Location is the location

Appear as:  <location name> Clients

Package Groups

Clients that have a Package where:

  • The Create Generic Group option on the package is Yes
  • The package is not refunded, expired, archived or disabled

Appear as:  <package name> Clients

Membership Groups

All Client users that are not Status = Inactive, and:

  • The Create Generic Group option on the membership is Yes
  • The client has been assigned the membership
Subscription Group

All Client users that are not Status = Inactive, and:

  • Own a subscription package
Active Wallet Groups

The Wallet group is enabled when the Payment Settings > Wallet setting is enabled.

All Client users that are not Status = Inactive, and:

  • The client's wallet is not disabled

 

Manual Groups

Manual groups can be specified in two ways:

  • Manually adding users to the group by searching for them in Fisikal
  • Uploading a file of user IDs

HOW TO CREATE A MANUAL GROUP

  1. Log into Fisikal as a Manager user
  2. Click Settings > Groups > ➕
  3. Enter a useful title
  4. Choose assignment method: Manual
  5. In any of the Client, Trainers or other Roles search boxes enter a user's; Name, Email, Phone number, or Alt ID (Ref) and then click their name to add to the group.

 

HOW TO CREATE A FILE UPLOAD GROUP

A Manual group can be loaded from a file of client IDs. Once the file is loaded then the group operates as a normal manual group.

Clients can be add or removed from the group using the file upload technique.

  1. Prepare a file that contains the Fisikal IDs of the clients to be added to the group.
    You can obtain this list using reports.
    The file must be a plain text CSV file and contain only IDs, one on each line.
  2. Log into Fisikal as a Manager user
  3. Click Settings > Groups > ➕
  4. Enter a useful title
  5. Choose assignment method: File Upload
  6. Select the prepared file
  7. Select Assignment strategy Add
  8. Click Update

The clients are assigned to the group. Edit the group to see the results.

 

Assessment Groups

Clients can be added to an Assessment Group based on their answers to one or more assessment questions.

    Before an Assessment Group can be defined there must be at least one assessment. Click here to learn about creating Assessments.

     

    How to create an Assessment Group

    In this example there is an Assessment Template called 'Swimming Skill' created with the question: 'Can you Swim?' requiring a Yes/No response. We are creating a group that for Swimmers that will only include clients that have said Yes to the question.

     

    1. Log into Fisikal as a Manager user
    2. Click Settings > Groups > ➕
    3. Enter a useful title
    4. Choose assignment method: Automatic from Assessment
    5. Select the Date Added to Group option:
      1. Date of assessment: The client is added to the group the moment they have completed the assessment with an answer that qualifies them for the group.
      2. Join Date (if after assessment): The client is added to the group once they have completed the assessment with an answer that qualifies them for the group, and their Join Date has been passed. This option ensures that fully signed up clients are in the group.
    6. Select the Assessment from the list of Assessment Templates.
      The list of questions in the assessment are shown.
    7. If there are questions that do not apply to this group then click the ignore option.
    8. For the question(s) that apply to the group:
      1. Choose the qualifier and value for the answer.
        For example in this case we want to include clients who answered Yes to a question. So the qualifier is 'equal' and the value is Yes.
    9. Click Create
    10. The Group is created and any client that meets the criteria is immediately added to the group.

     

    A client can complete the assessment in the App, or a staff member can record the answers in the web.

    Once the response has been recorded then the client is added to the group:

    View all the clients in the group by filtering the client list, or running the Client Details report filtered by the Group.
