PACKAGE CREDITS REPORT

Use the package credits report to see the current credit balance for clients. The report contains a row for every Service that a client has a credit for.

The Package Credit report has largely been replaced by the Client Packages report. The two reports cover the same kind of thing but the Client Packages report is one row per package instead of one row per credit and so is much more practical to use and efficient to run.

If your club sells packages that contain credits for ALL services for example then please consider the Client Packages Report instead for performance reasons.

The Package Credits report is useful to see:

  • Any or all Client's current credit balance
  • Clients that are able to make a booking in a location
  • How many credits for a service are in circulation
  • Which clients have which package

If your club has packages that include credits for all services then this report can get very big. In this case we suggest using the package, location and client filters to reduce the scope of the report.

HOW TO GENERATE THE PACKAGE CREDITS REPORT

  1. Click Reports in the main menu
  2. Click + to add a new report to the queue
  3. Choose Package Credits from the list
  4. Choose the options, click Generate

 

Options

Format

Choose the format of the output report file:

  • .csv - a comma separated text file that can be opened using Excel or other applications
  • .json - a structured text file useful for exchanging data with other systems
  • .xlsx - an Excel file that is usually smaller than the csv option but can take longer to produce
  • .pdf - uneditable portable document most suited to printing
Clients

Choose which clients to include

  • All - this includes all client's of all status, including inactive
  • Group - select a group of users to report on
  • Specific - choose individual or multiple Clients
Locations

Choose the location setting to limit the scope of the report. Clients will appear in the report if:

  • Their home location is in the selected locations
  • or
  • The package purchase location is in the selected locations

The locations visible in the report are limited to the locations that the user has permission to view. For Manager users this includes all locations. For other roles the user can only see or select their home location or locations in the allocation locations list on their member record:

Packages

Choose which packages to include in the report.

  • All - every package that has been allocated to clients (even if it is no longer available to purchase)
  • Specific - choose individual packages or multiple packages to limit the scope of the report
Package Status
  • Active Packages - only include credits where the package is currently active for the client
  • Expired Packages - only include credits from expired packages
    • Packages are expired when their Expiry date has passed
  • Archived Packages - this only shows Archived packages
    • Packages are archived when the expiry date has not been reached, but the credit limit has been used up.
Note the Expired packages option can result in a massive file and is not recommended to be used with the All Clients option

 

 

REPORT FIELDS

Client name  
Client FKL ID  
Client ALT ID  
Client Home Location Clients with a home location in the location filter will appear in the report, likewise if the CSP Purchase Location is in the location filter.
Client status This report lists Active clients with Active Packages; and Inactive Clients that have active packages.
Lead Trainer Trainer Name Name of the trainer selected as the client's lead trainer.
Lead Trainer Trainer ALT ID  
Service Title The service that the credit is for
Assigned The original number of credits assigned in the package
Used The number of credits that have already been used
Remaining The number of credits for this service still available in the package
Future Sessions The number of sessions already booked with a future start date
Package Credit Limit If the package has an overall credit limit then this columns shows a Yes value. The limit value is in the next column.
Credit Limit If the package has an overall credit limit then the value this is the value. All the credits in the package will be controlled by this overall limit.
Assigned Date Date the package was assigned to the client
Payment Date Payment date of the package
Start Date Start date of the package
Expiry Date Expiry date of the package
CSP Purchase Location

Client Service Package location. The location selected for the package when it was purchased.

Some services have the 'Restrict to book in purchased location' option enabled in which case it is important to know the location where it was purchased. 

Package Title Name of the package that the credit was assigned in.
Package ID  
Package Alt ID  
CSP ID Client Service Package Identifier
Amount paid The amount paid for the package
Balance Remaining balance for Instalment packages.
Payee Payee of the package; either the club or a trainer with their own payment settings.
Order ID Identifier for the transaction that included this package
CSP Status Client Service Package status, this is filtered out based on the Package Status filter for the report.
Permanent Expiration Indicated that the package has been permanently expired (terminated) and cannot be reactivated.
CSP Repeating

This field shows if this Package is a repeating Package or not. If it is a repeating Package this field shows how often the Package repeats:

  • 1 month
  • 1 week
  • 3 months etc
LEAD If this client is a Lead client then this column shows Yes and the linked clients column will contain the child clients.
Linked To If this client is linked to a lead client then the name of the  lead client appears here.
Linked Clients If the client is a lead client then their children are listed hers.
