How to Restrict Instructors from Editing Appointments

In this tutorial we will show you how you can stop instructors from changing and rescheduling occurrences.

PRO Application Editing Functionality

You may find that certain service options should have different permission settings for instructors / trainers, so that they can be restricted from making core changes to the occurrence. In this tutorial we will show you how to stop trainers from editing an occurrence in the PRO Mobile Application.

When a Trainer has the ability to EDIT an occurrence, they see the pencil icon on the appointment bar, if selected it will option up the EDIT APPOINTMENT form, where they will be able to edit the following details:

  • Duration
  • Starts at time
  • Ends at time
  • Add a note

If you want to remove the option for them to load the EDIT APPOINTMENT form, you must change user permissions either for each service individually or by using BULK EDIT functionality. The end result is the screen on the right, which no longer shows the pencil icon.

Bulk Editing Permissions

When you want restrict access to the EDIT APPOINTMENT form, you can either do this service-by-service or you can make a change to multiple services at the same time. This approach is particularly useful if the operator has many services.

Step #1 - The Bulk Edit form

Users should go to SERVICES and select the BULK EDIT button to load the following screen.

Step #2 - Filter Services

Using the bulk edit form we recommend only trying to process updates for <20 services at the same time. The number here will vary depending on the number of changes you want to make the service permissions.

An efficient way to do this if you have a lot of services is either to filer by SERVICE CATEGORY or ACTIVITY CATEGORY.

Users should select the option(s) that they want to filter by and select APPLY FILTER.

The form will filter the services presented by the option(s) selected.

Step #2 - Change Permissions

If you want to make a change to the Trainers permissions, you should select TRAINERS option on the top line of the form. This will show you all the permission options that you can adjust.

In the example above where you want to stop trainers from making changes to the appointment, you only need to select the checkbox on EDIT PERMISSIONS and then select the DISABLED option.

This change will remove the pencil icon and will stop trainers from making changes. 

NOTE: this option will NOT stop trainers from adding  or removing clients into the occurrence. If you want to stop them from doing this, you would need to find the ADD CLIENT or REMOVE CLIENT options on the form, check the check box and then select DISABLED for the option you want to change.

Once you have made the changes you want to the permissions for the selected Services, users should select UPDATE.

Step #3 - Repeat

If you were not able to update all the services you wanted to on the first run, you should complete this for all services that you want to change.

Please remember that you can filter by Service Category and Activity Category to make it easier to work through the list.
